Meeting Planner

Requires up to 50% auto/ air travel, which will include overnights.  
Job Purpose:

Provides internal and external meeting and event support company wide.Responsible for all aspects of planning, coordinating, communicating and executing meetings and events for NCCI. Meetings may be live or virtual.

Major Duties:

Responsible for all aspects of planning, coordinating and executing all activities related to live or virtual business meetings, conferences, trade shows/career fairs and special events while maximizing the return on investment. This includes hotel or venue selection, budget preparation, contract negotiations, selection of food and beverage, and audio-visual technology (software, applications, and equipment).

Keep current on trends and changes in the industry to improve the effectiveness as a Meeting Planner and the overall success of all meetings and events.

Responsible for cultivating and maintaining a high-value relationship with the internal and external customers and vendors at all times.

Required Education, Experience & Skills:

Bachelor’s Degree and 5 years of combined experience in meeting planning and/or virtual event planning/audio visual planning in either a corporate setting, hotel, or conference center.

In lieu of Bachelor’s Degree, incumbent would need 7 years’ experience in the above.

Detailed Knowledge:Site selection, contract negotiation, menu planning, audio visual equipment, budget preparation and administration

Skills: Solid Microsoft Office skills. Detail oriented with meticulous planning, organizational and negotiating skills, the ability to handle multiple tasks under tight deadlines while still meeting budget, creative problem solver, excellent verbal and written communication, works well in team-oriented environment.

For Virtual meetings - Knowledge of Virtual Event Technology such as WebEx, WebEx Teams, WebEx Event Center, and Vimeo.Experience with show production and the ability to storyboard, write, and understand show scripts/show flow. Live Streaming protocol; event/show production.

Abilities: Relate to people in a manner to win confidence, support, and understanding in the purposes, programs, and goals of the organization.

Preferred Education, Experience, and Skills:

Certified Meeting Professional (CMP) Certification
