WHAT YOU WILL DO IN THIS POSITION:
§Serve as a junior Meeting Planner, responsible for learning, preparing for, and executing company-wide meetings and events, both live and virtual.Responsible for planning and executing all internal conference center meetings/events.Provides Meetings and Events Team with support needed for customer-facing event planning.
§Plan and execute all customer meetings and events that take place in the conference center, oversee conference center food and beverage, daily operations and manage all aspects of audio-visual equipment.
§Be responsible for all aspects of planning, coordinating and executing all activities related to live or virtual business meetings, conferences, trade shows/career fairs and special events while maximizing return on investment. This includes hotel or venue selection, budget preparation, contract negotiations, selection of food and beverage, and audio-visual technology (software, applications, and equipment).
§Provide support to the meeting and events team. This includes travel meeting pack-outs, name badge orders/preparation, oversee travel audio-visual inventory and maintenance.
§Cultivate and maintain a high-value relationship with the internal and external customers and vendors at all times.
WHAT YOU MUST BRING TO THE ROLE:
§Bachelor’s Degree and 3 years of combined experience in meeting planning and/or virtual event planning/audio visual planning in either a corporate setting, hotel/catering, or conference center.
§In lieu of Bachelor’s Degree, incumbent would need 5 years of combined experience in meeting planning and/or virtual event planning/audio visual planning in either a corporate setting, hotel/catering, or conference center.
§Detailed Knowledge of: site selection, contract negotiation, menu planning, audio visual equipment, budget preparation and administration.
§Knowledge of catering software such as Caterese.
§Solid Microsoft Office skills
§Detail oriented with meticulous planning, organizational and negotiating skills, the ability to handle multiple tasks under tight deadlines while still meeting budget, creative problem solver, excellent verbal and written communication, works well in team-oriented environment
§Ability to effectively communicate and relate to people in a manner to win confidence, support, and understanding in the purposes, programs, and goals of the organization
§Certified Meeting Professional (CMP) Certification preferred
§Knowledge of Virtual Event Technology such as: WebEx, WebEx Teams, WebEx Event Center, and Vimeo preferred.
§Experience with show production and the ability to storyboard, write, and understand show scripts/show flow. Live Streaming protocol: event/show production preferred.
